IN THIS GUIDE ▾
I've talked to hundreds of HVAC contractors about their estimating process. The pattern is always the same: they start with Excel because it's free, lose jobs to faster competitors, make a costly pricing mistake, and finally switch to dedicated software. Then they say, "I should have done this two years ago."
This guide compares the best HVAC software tools available in 2026—from $49/month budget options to $500/month enterprise platforms. I'll cover pricing, features, pros, cons, and which tool fits your specific business size and needs.
I built EstimateKit, so I'm obviously biased toward it. However, I'll give honest assessments of all tools—including where competitors genuinely outperform us.
15+ platforms, 6 months,50+ contractor interviews.
We evaluated 15+ HVAC and field service software platforms over 6 months. Our testing methodology focused on what actually matters to contractors:
Created 10+ estimates per platform using actual HVAC scenarios (AC replacement, furnace install, service calls).
Interviewed 50+ contractors currently using these tools to understand real pain points and benefits.
Re-checked every published price against the vendor's own pricing page in September 2026. Where a vendor only quotes on request, we say so.
Mapped every platform's features against HVAC-specific needs: price books, tiered pricing, mobile access.
Seven criteria we scored against
Prices up. Seat fees up.Flat-rate tools gaining ground.
The HVAC software landscape has shifted significantly in the past year. Here are the major changes contractors should know about:
Housecall Pro's Basic plan is a single seat, its $149-189 Essentials plan stops at five, and every seat after that is $100 a month. Jobber includes one user on its two cheapest plans and charges $29 for each extra. Budget-conscious contractors are looking for alternatives.
Several platforms added "AI-powered" features in 2025. Most are gimmicks. The useful ones: automated follow-ups and smart scheduling suggestions.
Generic FSM platforms are losing market share to HVAC-specific tools. Contractors want equipment databases and pricing formulas built for their trade.
New entrants like EstimateKit offer flat monthly pricing vs. per-seat fees. A 3-person team pays $49/month total; the cheapest Housecall Pro plan with more than one seat is $149-189/month.
From $49 flatto $500 plus seat fees.
EstimateKit
EstimateKit is a complete HVAC business platform built specifically for heating and cooling contractors. Unlike generic field service tools, it comes with good-better-best options, customer approval links and a price book built for HVAC parts, equipment and labor. Full disclosure: I built it, so I'm biased. But here's what contractors tell me—and where we fall short.
ServiceTitan
ServiceTitan is the 800-pound gorilla of field service software. It's comprehensive, powerful, and expensive. For large operations with 5+ trucks and $1M+ revenue, it's often worth the investment.
Housecall Pro
Housecall Pro is popular with solo contractors and small teams. It's easy to learn and covers the basics well. The catch is seats: Basic is one user for $59-79, Essentials covers five for $149-189, and each seat past that is $100 a month.
Jobber
Jobber sits between budget tools and enterprise platforms. Good for contractors transitioning from spreadsheets who want scheduling and invoicing in one place. Core and Connect include a single user; Grow includes five; every extra seat is $29 a month.
FieldEdge
FieldEdge is built around service call management, with inventory and customer history done well. Installation estimating is not its focus.
Joist
Joist starts at $12 a month and its Elite tier is $32, making it a solid choice for contractors just starting out who can't justify a bigger software bill yet. There's no free plan anymore, but the 14-day trial unlocks everything.
Clear Estimates
Clear Estimates focuses on detailed, professional proposals. It's popular with remodeling contractors and works well for HVAC contractors who want granular cost breakdowns.
Right-Suite Universal
Right-Suite is a calculations tool, not a business tool. Use it for load calculations, then export to your estimating tool.
Excel / Google Sheets
Plenty of successful contractors still use Excel or Google Sheets. If you're only doing a handful of estimates each month, a well-designed spreadsheet can work fine. Once you're doing 10+ a month, the time you waste on manual work costs more than software would.

Most tools offer free trials. Create 3-5 real estimates before committing to see which interface feels fastest for your workflow.
Small contractors:speed and flat pricing win.
If you're still spending 2+ hours building estimates for HVAC jobs, you're leaving money on the table. While you're wrestling with spreadsheets or scribbling on notepads, faster contractors are sending professional quotes and booking the work.
When a homeowner calls three contractors for quotes, the first one to respond with a professional estimate often wins—even if they're not the cheapest.
Handwritten quotes and mental math lead to mistakes. Forget a part, underestimate labor hours, or miss a tax calculation, and that profitable job is barely breaking even.
A crumpled quote scribbled on a notepad doesn't inspire confidence. Customers are comparing you to contractors who send polished PDFs with line items, warranties, and branding.
Every hour you spend on estimates is an hour you're not earning. The right estimating tools give you that time back.
The real cost of not using estimating software
Say you're currently spending 1.5 hours on each estimate (pretty average for manual methods), and you do 20 estimates per month. That's 30 hours monthly on estimates alone. With good hvac estimating software, you can cut that to 15-20 minutes per estimate. That's about 7 hours per month—saving you 23 hours. Even at $50/hour (conservative for a skilled HVAC tech), that's $1,150/month in time savings. Compare that to a $49/month complete platform subscription (for your whole team), and the ROI is obvious.
And that's before you factor in higher close rates from faster response times, fewer pricing errors eating into margins, and a more professional image winning better customers. The contractors who keep "saving money" by avoiding software are actually the ones losing the most.
Seat pricing is the trap
The "best" tool dependson how many trucks you run.
The "best" HVAC software depends entirely on your business size and needs. Here's a framework based on what we've seen work for hundreds of contractors:
You need speed and simplicity. Don't overpay for team features you won't use.
Seat caps kill you here. Look for flat-rate or whole-team plans.
You need robust scheduling, dispatch, and reporting. Training time becomes a factor.
At this scale, you need enterprise features and can justify the cost.
There's no truly "free" option with full features. Excel and Google Sheets are free but extremely time-consuming (2-4 hours per estimate). Most paid tools offer 14-day trials—try EstimateKit (14 days free, no credit card required), Jobber, or Housecall Pro to test before committing.
For installations and complex quotes, yes. Generic tools like Jobber and Housecall Pro work fine for service calls but lack the good-better-best options and HVAC price book structure you want for quality installation estimates. HVAC-specific tools like EstimateKit are built around that workflow.
Simple tools (EstimateKit, Housecall Pro): Same day. Mid-tier (Jobber): 2-3 days. Enterprise (ServiceTitan, FieldEdge): 1-2 weeks with formal training.
Yes. Jobber, Housecall Pro, and ServiceTitan ship native apps. EstimateKit runs in the phone's browser, so techs can build and send a quote on-site without installing anything.
ServiceTitan, Jobber, and Housecall Pro all sync with QuickBooks. EstimateKit does not integrate with QuickBooks yet, so if two-way accounting sync is a must-have today, weigh that against the price difference.
Yes. EstimateKit charges $49/month flat for up to 25 team members—no per-user fees. Housecall Pro tops out at five seats on its $149-189/month plan and charges $100 for each seat after that; Jobber charges $29 per extra user.
Field Service Management (FSM) software like ServiceTitan and Jobber serves all trades (plumbers, electricians, HVAC). HVAC-specific tools like EstimateKit are built around good-better-best options, HVAC price books, and the quote-to-invoice flow heating and cooling contractors actually run.
The worst choiceis the one you're afraid to switch from.
The worst choice is sticking with a system that wastes your time because you're afraid to switch. Every contractor who upgrades says the same thing: "I should have done this two years ago."
For most HVAC contractors—especially those with 1-10 person teams—EstimateKit offers the best value. At $49/month for up to 25 team members, it costs a fraction of competitors while providing estimates, invoices, CRM, scheduling, and team collaboration in one HVAC-specific platform.
Pick a tool, try it for 14 days, and see how much time you get back. Your future self (and your bank account) will thank you.
